We provide our tours to you, the participant, and any person on whose behalf you book, on the assumption that you have read, understood and accepted the following Terms and Conditions.


Tour itineraries for our tours, which consist of Group Tours, Self-Guided Tours, Custom Itineraries or Luxury Tours are available on our website www.glutenfreetours.com.au.
Although Gluten Free Tours Japan ("we" "our" or "us") will do our best to adhere to the tour itineraries, they may be subject to change for numerous reasons beyond our control. If so, we shall not be liable for any loss or damage sustained by you as a result of such a change.

Tour dates and costs

Tour dates will be confirmed and the costs will be advised when the Booking Form is submitted. Costs will be based on twin share accommodation with bathroom facilities per bedroom/ apartment. If requested, single accommodation may be available at a supplementary cost.

Booking a tour

You apply to participate in a tour by submitting a Booking Form to us. You submit the Booking Form on the basis that you have read, understood and agreed to be bound by these Terms and Conditions. We may accept your Booking Form (at our discretion) and confirm your participation in a tour by issuing you a costed itinerary, together with an invoice for the cost of the tour (which may not necessarily be as advertised). Upon our receipt payment of the amount invoiced (being either the deposit or the full cost of the tour) together with a certificate of currency for travel insurance, we will confirm your place on the tour and our obligations commence.


If the booking is made 60 days or more before the scheduled date of arrival in Japan (the tour commencement date), you must pay a deposit of 20% (of the cost of the tour) on presentation of the invoice, and pay the balance, being 80% of the cost, 60 days before the tour commencement date. If the booking is made less than 60 days before the tour commencement date, then you must pay the full cost of the tour on presentation of the invoice. The payments made for the tour are non-refundable, except where a cancellation refund is available under these terms and conditions.

Tour cancellation (minimum numbers)

We reserve the right to cancel the tour and refund the cost of the tour paid (including deposits) if minimum numbers for the tour are not met 60 days prior to the tour commencement date.

Tour cancellation (force majeure)

We reserve the right to cancel the tour before the tour commencement date or during the tour in the event of Force Majeure. Force Majeure is an event that occurs after the booking is made and is beyond our reasonable control, and which we could not have reasonably prevented. It includes, but is not limited to: (a) war, armed conflict, criminal damage, riot, civil strife, industrial dispute, terrorist activity or the threat of any such acts; (b) natural disaster (including but not limited to flooding, fire, earthquake, landslide), adverse weather conditions, high or low water levels; (c) nuclear or other industrial accident causing environmental pollution or contamination; or (d) change in law, meaning, enactment, amendment (including repeal) in the law or administration of any law in Australia or any jurisdiction or territory relevant to the tour, which includes changes in statute, regulation, determination, by-law, declaration, licence and the common law as applicable from time to time, regulations or access to services, sites or countries caused by declared epidemic or pandemic events, border closures, DFAT warnings (Level 3 or 4). If the tour is cancelled in the event of Force Majeure, we will refund part or all of any unused portion of the cost of the tour that we are able to recover from our suppliers but will not otherwise be liable to refund any amount to you or pay compensation to you. At our discretion and if you request, we may provide a credit voucher for costs that can be carried over for a new tour as compensation in lieu of a refund.

Withdrawal (Cancellation) by you

If you cancel your booking or withdraw from a tour (during the tour), then we will not accept liability for any losses or expenses incurred by you such as for medical or any other reasons (such as by contracting COVID) or for personal or medical expenses incurred. We are not liable to refund any part of the cost of the tour or to reimburse any unused tour days. You need to rely upon the cancellation and trip interruption cover of your travel insurance policy in this regard (note that cancellation and trip interruption cover does not cover ‘change of mind’).

Tour cost variation

It may become necessary to increase the cost of the tour due to adverse international currency fluctuations. That is, if the exchange rate varies between the $AUD and the YEN so that the $AUD falls by more than 8% against the YEN from the exchange rate applying at the date the booking is made. If so, the increase will apply to the tour cost, and the cost will be varied. Variations will not be charged after we have received full payment from you.

Tour inclusions and exclusions

The tour includes all activities and items which are listed in the itinerary.
The tour cost does not include: travel insurance premiums, vaccinations and excess baggage fees or baggage forwarding; airfares, fuel surcharges, taxes, passport fees, visa fees; beverages with meals, any meals; sightseeing tours; entry fees to museums and attractions, unless specified. Guests must settle any charges payable to an accommodation provider for services ordered directly such as room service, mini bar, laundry, post, telephone, internet, Wi-Fi charges, items of a personal nature or tips (accommodation providers may require validation of a credit card upon check in).

Tour accommodation

Accommodation is booked in boutique & Chain hotels, traditional ryokans  (2,3,4 or 5 stars), located both in inner city and countryside. The accommodation information is available for your perusal. Please note that while we endeavour to choose the best rooms possible in the accommodation, this is subject to availability and last-minute change.

Travel Insurance

Comprehensive Travel Insurance is a mandatory requirement for our confirmation of a tour booking. The travel insurance cover must include: Personal Liability, Trip-Cancellation, overseas medical, hospital and dental expenses, emergency evacuation and repatriation from Italy. The travel insurance cover may include, if you require, pandemic and contracting COVID, travel delays, lost baggage, lost/stolen money, delays and trip interruption.

Health and fitness to travel

You warrant that you are healthy and/or fit to participate in the tours.

All tours require a moderate fitness level.

Responsibilities and Disclaimer

Gluten Free Tours Japan is not a carrier or accommodation provider, nor does it own aircraft, vessels, vehicles, hotels or coaches. The services which Gluten Free Tours Japan provides consist of arranging and co-coordinating accommodation stated on the itinerary/brochure only, tour organizing and planning and hosting, transfers, making bookings with the accommodation providers listed on the itinerary/brochure.  While Gluten Free Tours Japan takes care in the selection of reputable coach, vehicle and vessel operators, hotel and accommodation providers, and other suppliers of the various services which are used in these tours, Gluten Free Tours Japan does not act as their agent, nor are such suppliers or service providers the agent of Gluten Free Tours Japan. It is important to note, therefore, all bookings with Gluten Free Tours Japan are subject to the terms, conditions and limitations of liability imposed by such suppliers or service providers whose services are utilized, some of which may seek to limit or exclude liability in respect of death, personal injury, delay and loss or damage of baggage.
You acknowledge and agree that Gluten Free Tours Japan and its representatives assume no responsibility to you and will not be held liable by you for any personal injury, property damage, or other loss, accident, delay, inconvenience, or irregularity by reason of:

any wrongful or negligent acts or omissions on the part of the suppliers or service providers;

  1. any wrongful, negligent, or unauthorized acts or omissions on the part of any employee or representative of these suppliers or service providers;

  2. any defect in or failure of any vehicle, equipment or instrumentality owned, operated, or used by any of these suppliers or service providers; or

  3. any wrongful or negligent acts or omissions on the part of any other party not under the direct control of Gluten Free Tours Japan.; or

  4. any unforeseen event beyond our control (including contracting a virus such a COVID prior/during/after a tour).


    The law of the Contract is the law of Victoria, Australia, and the Courts of Victoria will have non-exclusive jurisdiction in relation to disputes arising upon or in relation to this Contract.
